Terms and Conditions
Agreement:
By accessing, using, browsing, or booking through our website or directly or indirectly through roadmaptravels.com or its representatives, you acknowledge that you have read, understood, and agreed to be bound by these terms and conditions. You also agree to comply with all applicable laws, rules, and regulations.
Prices:
The quoted prices generally include accommodation charges, taxes (unless otherwise specified), and, in some cases, specified meals (breakfast/lunch/dinner) and local travel. However, personal expenses or additional fees such as telephone calls, mini-bar items, services, cleaning, etc., are not included in the prices.
Payments:
To confirm the services contracted, an advance payment is required to hold the booking on a confirmed basis. The remaining balance, if any, should be paid before your departure. The amount of advance payment will be determined by us based on the nature of services, vendor requirements, and the time left before the services commence. Payment can be made through bank/wire transfer to our bank account. Please note that any transfer/processing charges imposed by the bank must be deposited in addition to the payment amount.
No Show/Early Departure/Cancellation Policy:
If you need to cancel tour/travel services due to any avoidable or unavoidable reasons, you must inform us in writing well in advance. The cancellation charges will be applicable from the date we receive the cancellation request in writing and will be as follows:
60 days prior to arrival: 10% of the total tour/service cost (excluding transaction charges)
40 days prior to arrival: 25% of the total tour/service cost (excluding transaction charges)
15 days prior to arrival: 30% of the total tour/service cost (excluding transaction charges)
10 days prior to arrival: 40% of the total tour/service cost (excluding transaction charges)
Less than 7 days or no show: No refund
During “Peak Season,” which is determined by the density of tourist inflow in each region and may vary from place to place and hotel to hotel, specific hotels may implement a different cancellation policy.
Refund:
For unused/unutilized services that have been paid for and cancelled well in advance, the refund amount will be calculated based on the aforementioned cancellation policy, and the money will be refunded accordingly to the person who made the payment. Please note that the refund process may take 2 to 4 weeks due to banking procedures. No deductions will be made for refunds (excluding transaction charges) resulting from unavailability of services. If the requested services are unavailable during the requested period, we will offer suitable alternatives well in advance of the service commencement. If the client finds the alternatives unacceptable, a refund of the advance payment will be provided. However, once the alternative service is accepted by the client, any subsequent cancellation will be subject to the above-stated cancellation policy.
Tariffs and Taxes:
Please be aware that after finalizing the tour/service cost, any hikes in entrance fees, taxes, fuel costs, or guide charges imposed by monuments/museums or authorities will be charged as extra. Hotel administration reserves the right to revise room tariffs until the actual check-in of the client. To confirm the reservation(s), the payment is made in advance based on the currently applicable and published hotel tariffs. In the rare but possible circumstances of tariff revision, the client will be responsible for paying the additional supplement demanded due to the revised tariffs.
Travel industry and hotel tariffs are subject to various government taxes and levies. The quoted tariffs generally include all applicable taxes and levies as of the date of quotation. If there is a change in the rate of government taxes or the implementation of additional levies and/or taxes, the company will not be held liable for the additional charges. In such rare but possible circumstances, the client will be liable to pay the additional taxes or levies as implemented.
General Terms:
Roadmaptravels.com acts only in the capacity of tour organisers and provide the accommodation services offered by our affiliated properties. The terms and conditions of all such properties are to be abided by our clients.
All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants’ safety, comfort & general well being.
We shall not be responsible for any delays, alterations in the program or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.
We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.
We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements. All baggage’s, personal property/s at all times are at the client’s risk.
Complaints regarding booked services:
Any suggestions from the client will be gladly accepted in order to improve the level of services and accommodation provided. We welcome your feedback, comments and/or complaints regarding the services purchased through us.
MODIFICATION OF THESE TERMS AND CONDITIONS:
The company reserves the right to amend/modify the terms, conditions, and notices as suitable in the interest of the clients and the company; and to comply with the legal requirements governing the industry.
Legal jurisdiction:
For any dispute, the Civil Court of Karnataka, India is to be acknowledged as the sole competent authority.
